ibizai Inbox Manager & Email Connectors

This policy covers the ibizai Inbox Manager web tool (ibizai.ai/services/inbox-manager), the ibizai Inbox Triage browser extension, the ibizai for Outlook add-in, and the ibizai for Gmail Workspace add-on. It explains exactly what each accesses, how the data is used, and what is and isn't stored.

What we access

  • Browser extension: when you click "Triage my inbox", it reads the sender, subject, and snippet of the emails currently visible in your open Gmail or Outlook tab. It does not read message bodies, attachments, or anything outside the open tab, and it does nothing until you click.
  • Outlook add-in / Gmail add-on: when you open the add-in and run a triage, it reads the metadata (sender, subject, snippet) of the messages in the current view to classify them.
  • Connected (managed) version: if you explicitly connect a mailbox via Google or Microsoft sign-in, the agent reads recent message metadata through the official Gmail / Microsoft Graph APIs using the read scopes you approve. You can revoke this at any time from your Google or Microsoft account.

How your data is used

The email metadata is used for one purpose: to produce your triage (classification, priority, draft replies, rulebook). To do this it is sent to the AI model you select (Google Gemini by default) solely to generate that result. We do not use your email content to train models, and we do not sell or share it with third parties for advertising.

What is stored

  • The extension and add-ins keep nothing on a server. The browser extension hands your emails to the web tool in the page URL fragment, which is never transmitted to a server; the triage runs in your browser session.
  • Web tool: your inputs and results are saved only in your browser's local storage so the page survives a refresh. Registered users may explicitly save a result to their ibizai Workspace.
  • Connected version: the OAuth refresh token (or, for IMAP, an encrypted credential) is stored, restricted to your account, and used only to fetch your inbox for the brief you requested. No raw email bodies are retained.

Optional redaction

The web tool offers a "Redact sensitive data before sending" option that replaces emails, phone numbers, and account/ID numbers with placeholders in your browser before anything reaches the AI model. For organizations with stricter requirements, fully in-perimeter (on-premises) processing is available via CEMI.

Your controls

  • Uninstall the extension/add-in at any time — it then accesses nothing.
  • Revoke a connected mailbox from your Google (myaccount.google.com/permissions) or Microsoft account.
  • Clear the web tool's local data from your browser.
